AI automation for small business
AI automation for small businesses that actually gets built.
If you run a small business and want AI automation that gets built rather than presented — around the CRM, phone system and spreadsheets you already have, by people who stay accountable for it working — that is what AI Cubed does. A short diagnostic finds the workflows costing you hours; we build the first system in two to four weeks; you decide whether we keep running it.

Most small businesses don't have an automation problem. They have a "who actually does this" problem. The tools exist. What's missing is someone who will find the right workflow, build the thing, and answer the phone when it breaks.

Sounds familiar?
- "My office manager spends every Friday rebuilding the same report."
- "Leads come in at night and nobody answers until the next morning."
- "We have Zapier. Two zaps work. Nobody knows what the other nine do."
- "I don't have an IT person. I have a nephew."
- "Every vendor wants me to move everything to their platform."
- "I want to automate but I'm not technical and I don't have time to learn."
What we automate for small businesses
| Function | What the system does | Typical tools it connects |
|---|---|---|
| Sales and enquiries | Answers, qualifies and books inbound leads within minutes, day or night; logs everything in the CRM. | HubSpot, GoHighLevel, Pipedrive, web forms, phone system |
| Customer onboarding | Reads intake forms and documents, creates records, sends the welcome sequence, flags exceptions. | Google Workspace / Microsoft 365, CRM, e-signature |
| Follow-up and retention | Runs the follow-up sequence, escalates replies, requests reviews at the right moment. | CRM, email, SMS, Google Business Profile |
| Operations | Scheduling and dispatch by rules, job notes into reports, reminders and renewals. | Calendar, field-service software, forms |
| Finance and admin | Invoices from completed work, reminders on overdue, reconciliation, weekly numbers. | QuickBooks, Xero, Stripe, spreadsheets |
| Reporting | The Friday report, built and sent automatically with reconciled numbers. | Everything above, into a dashboard or an email |
How we work with a small business
- Diagnostic call — twenty minutes. We ask about the operation, not the technology, and name the one or two workflows worth starting with.
- Short audit — we cost each recurring process in hours and dollars and hand you a ranked plan. It's yours whoever builds it.
- Build — the first system, connected to your existing tools, in two to four weeks. You see it working alongside the manual process before you switch.
- Run — we monitor it, fix what breaks and add the next workflow, or hand it over documented. Most clients keep us on because the second and third systems are where it compounds.
What we don't do
- Move you onto a new platform so the automation works. We build around what you have.
- Put an AI in front of your customers unsupervised. A person stays in the loop where judgment matters.
- Sell you a chatbot for a landing page. It's rarely the first win.
- Take on a build where the hours saved don't clearly exceed the cost. We'll say so.
Who this is for
Owner-led businesses with real recurring volume — a practice, a brokerage, a trades or services company, a small firm — typically five to fifty people, without an IT department, where a few broken workflows quietly cost a lot of hours. If you're a solo operator with one repetitive task, an off-the-shelf tool will probably do it, and we'll tell you which.
How pricing works
The diagnostic call is free. The audit is a fixed-scope engagement whose output you keep. Each build is a fixed price for a fixed scope, set against the hours it removes; running it afterwards is an optional monthly retainer. Numbers come out of the diagnostic call, before anything is committed.
