    An AI voice agent is a phone system that holds a real conversation. It listens, understands intent, asks the questions you would ask, reads and writes to your calendar and CRM, and hands off to a human when the call needs one. Unlike an IVR phone tree it does not force callers through menus, and unlike a voicemail box it does not defer the work to tomorrow.

    "AI receptionist" is the same technology sold as a product. The distinction that matters is not branding — it is whether the agent is wired into the systems that run your business or bolted on beside them.

    Where AI voice agents earn their place

The right design detects those cases early and warm-transfers with the transcript already summarised, rather than pretending to handle them.

    • Low call volume: if you take four calls a day and answer them all, this is not your bottleneck.
    • Judgment-heavy conversations: the agent should qualify and transfer, not decide.
    • Regulated disclosures: keep a human in the loop where compliance requires one.

    Buy an off-the-shelf agent or build one

    Several hosted AI receptionist products work well out of the box, and if you need after-hours answering for a single location, buying one is the sensible move. The limits appear later: shallow CRM integration, no control over qualification logic, per-minute pricing that scales badly, and no ability to branch by service line, location or payer.
